How to Choose an HVAC Contractor for a New System
A $12,000 HVAC job is only as good as the install. Here's how to vet HVAC contractors on load calculations, licensing, and the quote details that matter.

A new HVAC system runs $5,000 to $28,000 installed, and here's the uncomfortable truth about spending that money: the system is only as good as the install. Two contractors can hang the identical high-efficiency unit and deliver wildly different results — one comfortable, quiet, and cheap to run for 20 years; the other loud, uneven, and failing in a decade — purely on installation quality and whether the equipment was sized correctly in the first place.
That's why choosing the contractor matters more than choosing the brand. The single biggest tell of a real pro is whether they perform a Manual J load calculation to size the system to your home — instead of eyeballing it or matching whatever was there before. Here's how to vet HVAC contractors on the things that actually determine the outcome.
Find HVAC contractors and get three quotes
Start with referrals and with contractors who carry the brands you're considering — manufacturers list their dealers. Get at least three written quotes, and give each contractor the same information about your home so the bids are comparable. The most important thing to watch during quoting: does the contractor come out, measure, and calculate — or do they quote a size off the top of their head over the phone? A quote based on a real assessment is worth more than a slightly cheaper one pulled from thin air.

What do you need done?
The load calculation is the whole ballgame
An oversized system short-cycles — it blasts on, cools or heats too fast, shuts off, and repeats. That means uneven temperatures, poor humidity control, more wear, and higher bills. An undersized system runs constantly and never quite keeps up. Correct sizing comes from a Manual J load calculation that accounts for your square footage, insulation, windows, orientation, and climate.
Ask directly: "Will you do a Manual J load calculation, or are you sizing off the old unit?" A pro does the calculation. A parts-changer replaces "a 3-ton with a 3-ton" without checking whether the original was ever right. Also ask about ductwork — leaky or undersized ducts can waste a huge share of a new system's efficiency, and a good contractor evaluates them rather than ignoring them.
Verify license, insurance, and certifications
- License. HVAC is a licensed trade in most states. Verify the contractor on your state licensing board — a free lookup shows status and complaints.
- Insurance. Confirm general liability and workers' compensation, with a certificate sent from their insurer.
- EPA certification. Any technician handling refrigerant must hold an EPA Section 608 certification — it's federal law. This is a baseline, not a bonus.
- NATE certification. North American Technician Excellence certification is a respected voluntary credential signaling tested competence. Not required, but a good sign.
- Manufacturer certification. Factory-certified dealers can often register longer parts warranties and are trained on the specific equipment.

- Will you perform a Manual J load calculation to size the system?
- Will you inspect and, if needed, seal or repair my ductwork?
- Are your techs EPA 608 certified? (Required for refrigerant work.)
- Are you licensed and insured — and can I verify it?
- What SEER2 / AFUE efficiency are you quoting, and why that level for my home?
- What's included — permit, old-unit removal, new thermostat, startup and commissioning?
- What are the labor and parts warranties, and do I need to register anything?
- Are there rebates or tax credits I qualify for on a high-efficiency system?

Reading the HVAC estimate and paying
A real HVAC quote is itemized. Confirm it names the exact equipment (brand, model, tonnage, SEER2/AFUE), the scope (ductwork, electrical, condensate, permit), removal and disposal of the old unit, startup/commissioning, and the labor and equipment warranties. What a quality install actually includes
Two installs of the identical unit can look the same on the invoice and behave completely differently in the wall and the ductwork. When you're comparing contractors, ask what their install includes beyond hanging the equipment. Quality installers pull a proper vacuum on the refrigerant lines before charging the system, weigh in the exact refrigerant charge rather than eyeballing it, seal and test ductwork for leaks, set up the condensate drain correctly, verify airflow across the coil, and commission the system — measuring temperature split and static pressure to confirm it's performing to spec. None of that shows up in a lowball quote, and skipping it is why a cheap install fails early.
This is also where the contractor red flags and a careful reading of the estimate pay off. If one bid is thousands cheaper, the difference is almost always in what's not being done — no load calculation, no duct sealing, no commissioning, a builder-grade unit swapped in for the one you thought you were buying. Bigger system — isn't more capacity better? No. An oversized system short-cycles, controls humidity poorly, and costs more to buy and run. Right-sized beats oversized every time.
Is EPA certification really required? Yes. Federal law requires EPA Section 608 certification for anyone handling refrigerant. A contractor whose techs aren't certified shouldn't be touching a refrigerant line.
Does the brand matter more than the installer? The installer matters more. A quality unit installed poorly underperforms a mid-tier unit installed correctly. Choose the contractor first.
Should I chase the highest efficiency rating? Only where the math works. Higher SEER2/AFUE costs more upfront; the payback depends on your climate and energy prices. A good contractor helps you find the efficiency sweet spot and flags available rebates.
Heat pump or traditional furnace-and-AC — who decides? You do, with the contractor's guidance. In many climates a heat pump is now a strong, efficient option and may qualify for rebates or tax credits; in very cold regions a furnace or dual-fuel setup can make more sense. A contractor who runs the load calculation and talks through your climate and energy costs — rather than pushing whatever they stock — is the one you want.
How long should a new system last? A properly sized, well-installed, and maintained system commonly lasts 15–20 years or more. A neglected or poorly installed one can fail in 10–12. The install quality and ongoing maintenance matter as much as the equipment brand.
